Festival planning checklist from idea to teardown

A festival consists of hundreds of interlocking tasks. This checklist arranges them in nine sections, from the first idea to the last day of teardown.

How to use the checklist

Tick items off while you plan. Ticks are not saved: to take the list with you, print the page or save it as a PDF. Not every item applies to every event, so strike what does not fit.

Requirements and permits differ by state, municipality and event size. The checklist is not legal advice, always confirm details with the responsible authority.

Frequently asked questions about planning a festival

For festivals with several hundred visitors or more, a lead time of twelve months or longer is common. Authorities, the safety concept, booking and service providers all take time.

Usual items are a safety concept, a medical and rescue concept, a traffic and parking concept and rules on noise and environmental protection. What exactly is required is decided case by case by the responsible authority.

Define areas and roles, estimate the demand per shift, advertise open positions, review applications and proof and assign shifts without double bookings. Beyond a certain size, crew software is worth it instead of Excel.
